Job Overview

POSITION SUMMARY:

 

The Dispatcher Housekeeping is responsible for providing daily administrative support and coordination of the Housekeeping Department; ensuring the department achieves the highest level of service delivery to Hotel Guests and other hotel departments through effective communication and follow up. He/she should always display the highest level of professionalism and customer service both internally and externally.

 

PRIMARY RESPONSIBILITIES:

  • Consistently offers professional and friendly service to Hotel Guests and internal Staff members
  • Follows the Housekeeping department telephone etiquette
  • Handles telephone calls and ensures all messages, information and requests are logged, communicated promptly and accurately to provide prompt delivery of excellent service to both internal and external Guests.
  • Responsible for liaising with Front Office and Property Services in the overall operation of the rooms division
  • Monitors the “Queue” room status and ensuring rooms are returning timely
  • Monitoring of HOTSOS on job orders issued to Engineering and guest requests
  • Controls and daily maintenance of communication device
  • Knowledge of all Housekeeping services, F/B outlets, hotel areas as well as features and hours of operation
  • Generates various operational reports for the coordination of Housekeeping department
  • Maintains effective recording and filing systems, completing all administrative reports accurately and in a timely manner
  • Handles lost and found efficiently and record all necessary procedures as required by the department
  • Ensures key control procedures and inventory/ daily maintenance of communication devices
  • Works as a reliable team member within the Housekeeping Department and maintaining effective communication across the Departments
  • Takes minutes and performs translation of documents and memos as and when required by Superior
  • Ensures all office supplies are in stock and all equipment is maintained in good condition.
  • Maintains the Housekeeping Dispatching working area clean and tidy at all times
  • Adheres to all Company policies and procedure.
  • Follow all Occupational Health and Safety regulations
  • Adhere to Hotel’s policies with regards to security
  • Reports accidents, injuries, unsafe work conditions and/or security issues to supervisors.
  • Assists Executive Housekeeper in organizing various activities within the Housekeeping Department
  • Flexible in performing any other duties and responsibilities as assigned by Superiors including redeployment to other departments/areas if required, in order to meet business demands and guest service needs
  • Performs other reasonable job duties as assigned by Superiors
  • Flexible in working rotating shifts including overnight shift

 

QUALIFICATIONS:

 

Experience

  • Previous experience is an asset
  • Experience in a similar capacity preferred but is not essential

Education

  • High school diploma
  • Hospitality related discipline

 

Skills / Competencies

  • Proficient in English language ( verbal and written )
  • Must possess outstanding Guest service skills, professional presentation, verbal and written communication skills
  • Must be highly organized, energetic and possess the ability to work well under pressure
  • Must be able to handle multiple tasks, work independently or part of a team in an intense, ever changing environment
  • Must possess strong administrative skill, ability to prioritize and maintain control over workloads
  • Must be Guest- oriented with a cheerful personality and a strong will to assist people
  • Patience, flexible, reliable and responsible
  • Ability to follow through to get job done
  • Experience in administration, preferably in a hotel environment
  • Proficiency with Microsoft Office including Word, Excel, PowerPoint
  • Proficiency with the Internet
