On behalf of our Client, The English School, we are seeking to recruit a high caliber Secretary to support the Board of Management, for our client’s premises in Nicosia.
Reporting to the Board Chair or, in his absence, any Board Member delegated such responsibility by the Board Chair, the successful candidate will be responsible for ensuring that the administration of the Board of Management is run with efficiency, professionalism and confidentiality at a high level. More specifically, the successful candidate will be responsible for:
-Providing high level administrative and confidential secretarial support to the Chairman and Members of the Board of Management including, but not restricted to, incoming and outgoing mail management, diary management, telephone screening, conference and travel bookings and filing.
-Presenting the Board Chair with a draft agenda for Board meetings for his/her approval.
-Ensuring that s/he is aware of outstanding issues needing to be addressed by the Board and to ensure that they are prioritised.-Ensuring that the venue for meetings is appropriately prepared.
-Providing accurate, timely preparation, and distribution of the Board meetings’ agenda, minutes and documents.
-Providing the Board with any supporting information or history relating to any issues coming before the Board.-Being well acquainted with the procedures for constructive Board workings and aware of the School’s history, targets and mission statement.
-Conveying Board decisions to the relevant person for action, and to follow up that they have been implemented.-Preparing draft letters, speeches, etc. if required by the Board Chairman or a Board member.-Serving as a contact and source of information for the Board of Management as required.
-Dedicating him/herself to the needs of the Board of Management only, unless otherwise directed by the Chairman.
-Assisting with duties relating to the creation and/or maintaining of the School Archives as may be required
-Handling any duties that may also be required within reason by the Board of Management.
-Qualifications relevant to the post are essential, with a Bachelor Degree being necessary.
-3-5 years relevant experience in a high-level organisation, with an educational environment being preferred but not essential.
-Strong ICT skills, Experience in office management in a high-level organisation
-Excellent knowledge of written, spoken, and use of the English language is essential as the post will involve responding to correspondence, and preparing draft documents for the Board of Management’s approval.
-Very good knowledge of written and spoken of the Greek language is also essential as correspondence from Government offices, parents, the general public etc. is frequently received. Any other language would be considered an asset.
Excellent organizational and interpersonal skills (confirmed by letters from previous employers).
-A high level of discretion, confidentiality, the ability to use initiative constructively.
-Ability to respond to all those communicating with the Board in a polite and diplomatic manner
-Ability to use initiative so that visitors can be dealt with in a way which is satisfactory to assisting towards the solution of their issue.
-Excellent interpersonal skills within the School’s staff and the wider community.
-The post-holder’s demeanor and dress code must be that expected of a person who represents the Board of Management.
Working hours: Monday to Friday, 38 hours per week (to be agreed) plus attendance at the Board’s Plenary and Committee meetings. Other hours, as deemed reasonably necessary by the Board Chair for the effective functioning of the Board of Management, may also occasionally be required.Sick leave and holiday allowances, retirement age, will be those contained in the English School Administrative Staff Contract.Pay Scale: A7 or A8 depending on experience.
